Board Meeting Minutes

In attendance: Sarah Bohndorf, Jennifer Gilbert, Trish Schurkamp, Kerry Strahm, Andrea Umbreit, Janet Vogel, Shari Wilson2. Approve Minutes from 26 January Meeting-Janet Vogel
The minutes were distributed. One slight change was suggested for clarification. It was agreed the minutes were approved with the one change. The minutes from 26 January will be corrected and forwarded to Teresa Garrison for publication on the Task Force website.3. Financial Report - Kerry Strahm
Kerry Strahm presented a breakdown of each of the grants received with expenses applied against them to date. He further explained that the task force has received not all of the funds listed on the grant worksheet. Additional recent expenses will appear on expense report to be present at the board meeting in March. The updated balance will be $31,101.44 after recently received funds are deposited.Shari Wilson pointed out to the group that all current funds are encumbered to specific projects. She specifically requests that no one encumber task force funds without prior approval from either herself or the Task Force Treasurer Kerry Strahm.
4. New Business
A. Donor Brick Program-Jennifer Gilbert
Forty-eight bricks have been purchased with more to come. The group has continued distributing the donor brick brochures to organizations throughout the metro area. There is a new insert inside the brochures with a statement explaining the extended deadline as March 30, 2004. Shari Wilson suggested creating a press release and an update on the website on the donor brick program.
B. Discussion of Tornado Landmark Proposal - Shari Wilson
Shari distributed copies of several recent newspaper articles covering the Tornado Landmark Proposal. One of the proposed locations for this landmark is at Kaw Point. So far the only public communication received on this topic has been from the media. Shari asked the board for a recommendation on how the group wished to proceed on this issue. All agreed the best step was to send a letter to the Mayor and the Unified Government Commissioners explaining the cultural sensitivity and history of the location as well as the vast community involvement in the development of the site into the Lewis & Clark Historic Park at Kaw Point.C. Application for Best of Wyandotte - Shari Wilson
The Best of Wyandotte is biannual reward to local civic projects. The question placed before the board was should we proceed with the application process for this year before our event or wait until the next round of awards given in two years.Janet Vogel commented that the award could bring needed recognition from the media and the community at large for the upcoming event and increase support for the park itself.
Trish Schurkamp suggested that the award could promote goodwill among those that have committed time and money into the project.
Shari Wilson stated that someone would be required to come forward and for this person to complete the application in time for the March 12 deadline. Shari then asked the taskforce if anyone was available to take on this task or if they could recommend someone. There was not an immediate response from any members of the board.
5. Old/Other Business
A. Update on Peace Medal Design for Postal Cancellation - Trish Schurkamp
The United States Post Office is willing to give our organization a cancellation stamp if we submit a design. The board members present viewed a preliminary design for the cancellation stamp. All members agreed the design was appropriate. There is no cost involved to the task force in this project. Trish Schurkamp is looking into the possibility of adding a children's area at the bicentennial commemoration event where children could get this special cancellation stamped onto an envelope.On May 14, the post office will unveil a Lewis and Clark stamp at various sites along the Lewis and Clark Trail. Atchison, Kansas was the Kansas location chosen for this event.
B. Event Committee Update - Trish Schurkamp
Through discussion with the fireworks vendor, Trish Schurkamp has discovered a donor for the $5,000 for the fireworks display could be allowed to throw the switch to start the fireworks. This could be used as an additional incentive in location a donor for this project.C. Corps of Discovery II Update - Jeanne Shove and Barbara Jolley
Jeanne and Barbara were not in attendance. Trish Schurkamp announced the upcoming meeting for this committee to be held on February 25 with those wishing to present and others willing to work with the committee. The additional committee members will be Dale Blevins, Jennifer Tarwater, Trish Schurkamp., and Kathy Alexander.D. Site Construction Update - Shari Wilson
A preconstruction meeting was held with Mega Construction last week. Mega is the company, which will proceed with the Education Pavilion, the access stairs and part of the dock. This will include the site preparation work of earth moving and then pouring the concrete. All three areas will be constructed simultaneously. An electrical contractor will be chosen on February 24. Also, the grass is beginning to turn green and a robin was spotted in the area.E. Update on Historic Monument - George Vesel
George Vesel was unable to attend the meeting. Shari Wilson distributed the plans for the proposed Flag and Compass Plaza. The task force is waiting on the Unified Government for approval.F. Funding Update-Shari Wilson

Janet Vogel reported for Teresa Garrison on the updates to the task force website. Teresa has begun a local information page and a link to this page can be accessed from the home page. She is continuing to develop this page, which will include a map and directions to the site. Teresa is requesting that if anyone has suggestions on the website to contact her directly. She also requests that committees continue to send meeting minutes.
