The meeting was called to order at 5:10 p.m.

Site Reservation:
Trish Schurkamp reported the site had been secured at the Wyandotte County Lake Park. We are looking for an alternative rain site. Karen Roberts reported she had talked with the Bonner Springs YMCA about their facility. They told her they rented it for $100 per night, plus janitorial service of $10 per hour. Trish will check to see that if there is a fee, would the Community Education Committee be responsible or will the Kansas Humanities Council be responsible for paying the bill. Trish will also check to see if Washington High School gym or the Bonner Springs High School gym would be available, and if there would be a fee.

Committee Reports:
Tent Setup and Takedown: No report was given

Local Entertainment: Sarah Bohndorf reported she had contacted several groups, such as the Kansas City Kansas Community Choir, the Kaw Valley Choir, and the Bonner Springs Band. She asked for any suggestions and stated she would continue to see what was available.

Publicity and Promotion: Janet Vogel reported she had looked into television promotion, and that the Chautauqau was on the CVB website and would be a part of the Kansas Sampler on May 3 and 4, and the Star Community Calendar. She is also checking with Mother and Child Reunion and other area newspapers about advertizing.

Finance/Fundraising: Trish Schurkamp reported we have received notice from the CVB that we will be getting the matching $1500 grant for advertising, as well as $1000 from the Kaw Valley Arts and Humanities, and $100 from the Leavenworth Road Association. Marty Porter asked for suggestions of possible funding areas. Dunn Family Foundation, BPU Checkered Flag Charities, Woodlands, Colgate/Palmolive, Bonner Springs Wal-Mart, George Gray Foundation, Briendthal Foundation, First Community Bank and various service club organizations were mentioned.
An incentive package was discussed, along with the need for a donor letter and receipt. Marty will meet with Trish next week to devise a plan.M

Motel Room and Passenger Cars: Jennifer Tarwater reported that the Chautauquans will be renting from the Comfort Inn. The committee is responsible for one room throughout the week. Also, Jennifer is looking into getting two passenger cars for the Chautauquans to use during the week. Jennifer has checked with Enterprise Leasing.

Trish announced there were still several committees that needed chairs. Connie Steele and Wendy Scheidt said they would co-chair the Concessions committee. Kay Shevling agreed to chair the In-Kind committee, and Kimberly Martin and Jennifer Tarwater agreed to co-chair the Workshops and Location (alternative site) committee. We still need someone for the Logo Sales and Evaluation committee.

Wendy Scheidt agreed to check with Tiblow Transit to see if they would be willing to shuttle visitors to and from the Chautauqua. Trish Schurkamp will check with the Woodlands to see if we can use their parking area during the Chautauqua for overflow.

Trish announced she would be speaking to the Bonner Springs Historical Society on Feb. 6 and a Business Organization Breakfast on March 5 about the Chautauqua. If anyone else knows of an organization that would like someone to speak to them about the Chautauqua, please let Trish know and she will make sure someone can attend.

Trish reported that an announcement of the Chautauqua is now on the Wyandotte Lewis and Clark Task Force website. The website address is www.lewisandclarkwyco.org. The listing is under events.

Other questions before the committee to be answered before the next meeting are: Do we need a special events permit; should we charge for concessions; how many generators are available and can we get them through the UG; and do we need special event insurance.

The committee asked that Deborah Pomeroy from the Kansas Humanities Council be invited to our next meeting in order to answer some questions. Our next meeting is set for Feb. 12 at 5 p.m. at the Wyandotte County Museum.
